AssetNow NX Permissions Tool - Users

The Permissions tool is used to manage site access permissions and tool permissions. To access private/member content or use the tools requires a user account with the appropriate permissions.

The Permissions tool is used to create and manage user accounts, user groups, and roles.

To access private/member content, or use the AssetNow NX tools you require a user account with the appropriate permissions. Typically the site administrator, and optionally any group administrators can access the Permissions tool.

To access private/member content you must:

  1. Setup a user account.
  2. Assign the user account to the appropriate group/s to which the private/member categories and/or content have been assigned.

To access the AssetNow NX tools you must:

  1. Setup a user account.
  2. Assigned the user account to the the required group/s.
  3. Assign the user account to the required role/s. Typically a user will be assigned to a single role. Roles determine which Tools a user can access. The predefined roles are Site Administrator, Group Administrator, Approver, and Publisher. You can create your own roles as required.

After sign in select the Permissions tool from the main menu (top panel). The left panel displays a tree with Users, Groups, and Roles. Expand the Users item in the tree. This will display user status folders. To list all the Unassigned user accounts click the unassigned folder, to list all the active user accounts click the On folder etc.

Click the User icon in the tree to list all user accounts irrespective of status. The most recently updated user account is listed first.

Click the new icon to create a new user account.

Click the edit icon to display the tabbed form to update a user account.

The user settings are grouped under 4 tabs:

1. Name

This tab contains the user's name details and email address. Typically all items under this tab should be completed.

Parameter Description
Courtesy Title Optionally select the courtesy title. This is not used by AssetNow but can be used by developers for personalized emails of newsletters etc.
First Name First name and/or initials of user
Last Name Last name (surname) of user
Email Address Valid email address of user. Ensure that this is correct as users can enter their email address at the site sign in form to recover their access details.
Alias The alias is used in comments and available to developers in cases where users may prefer not to use their real name, or a alternative name such as a nickname.
Username A unique username used to sign in. AssetNow NX will verify that the username is unique when you save the account. If it is not unique it will be replaced with an alternative. Checks for unique usernames are no case sensitive, for example John and john will be evaluated as the same.
Password A unique password used to sign in. AssetNow NX will generate a unique password that complies with the mask set under the system setup parameters. If you enter a password it will be checked when you save the account and if it is not unique or compliant with the mask it will be replaced. Checks are not case sensitive.
Send Check this option to have AssetNow email the username and password to the user email address.

2. Details

User contact and address details. These details are optional.

Parameter Description
Company Company / organization / affiliation etc.
Position/Role/Job Title Title such as Marketing Manager, Sales etc.
Phone Phone number (not validated)
Mobile Mobile phone number (not validated)
Fax Fax number (not validated)
Address 1 Address information (street or postal)
Address 2 Address information
City City
State State
Postal Code Postal code (not validated)
Country Country (default is set by the system configuration parameters)

3. Properties

Parameter Description
Status

Set the display status of the user:

  • Off - the user account is disabled.
  • On - the user account is active. The account is subject to the On / Schedule On date/time. If this is in the future the account will only be active from that date/time.
  • Schedule - the account is active for the period set by the Schedule On and Schedule Off date/time values.
  • Delete - the account is deleted. AssetNow does not actually delete any user accounts butchanges the account status. This ensures so that references can be maintained.
On / Schedule On The account will be activated from the set date and time.
Schedule Off Only applies is Status is set to Schedule. The user account will be disabled after the set date and time.
Language User language setting. User interface text will be displayed in the selected language based on the i18n language bundles being translated.
Notifications Not used by AssetNow. Available for developers when sending information to user accounts.

4. Permissions

A user account must be assigned to at least one group to perform any useful function. An account can optionally be assigned to a role for tool permissions. Role are typically used for tool permissions however developers can utilized roles for custom applications as well.

Parameter Description
Groups Assigned the user account to the required groups. Groups must be setup first via the Groups tool.
Roles Assign the user account to the required roles. Roles must be setup first via the Roles tool.
