AssetNow NX Permissions Tool - Groups

The Permissions tool is used to create and manage user accounts, user groups, and roles. Groups are used to manage users with the same permission requirements. A user account must be assigned to at least one group.

After signing select the Permissions tool from the main menu (top panel). The left panel will display a tree with Users, Groups, and Roles. Expand the Groups item in the tree. This will display user folders which allows you to easily access users with permissions to the selected group.

To list, create, update, or delete groups click the top level Groups folder. A list of all groups is displayed. Groups can be ordered. If a user belongs to more than one group the group with the highest order (appears first in the list) will be the initial group they are assigned to after sign in.

Click the new icon to create a new group.

Click the edit icon to display the tabbed form to update a group.

The group settings are available under 4 tabs:

1. Properties

ParameterDescription
GroupName of the group. You should keep the name short and concise.
DescriptionOptionally enter a description of the group. This is not displayed anywhere however can be useful to keep track of the intended use for a group.
Status

Set the display status of the group:

  • Off - the group and all users is disabled.
  • On - the group is active. The account is subject to the On / Schedule On date/time. If this is in the future the account will only be active from that date/time.
  • Schedule - the group is active for the period set by the Schedule On and Schedule Off date/time values.
On / Schedule OnThe group will be activated from the set date and time.
Schedule OffOnly applies is Status is set to Schedule. The group will be disabled after the set date and time.

2. Access

Authenticate

Set the group authentication mode:

  • Anonymous - used with Restrict Access and/or Country Access options. Users who belong to this group and meet the Restrict and/or Country access requirements will be assigned to this group upon entering the site. This mode it typically used to display regional specific content or redirect visitors to a specific part of the site based on their region.
  • Link - a user can be assigned to the group by clicking a link with the group ID. For example if you wish to assign a visitor to a specific group via a URL then you can pass the group id as the 4th numeric value in the ANX URL e.g.: 1,2,3,4,html - 4 is the GroupID.
  • Sign In - the user must sing in with a valid username and password to belong to the group. This is the most common authentication mode and used to provide access to private content.
Restrict AccessAccess will be restricted to IP addresses. Enter a comma separated list of IP addresses optionally with regular expressions. For example to allow all addresses between 192.168.0.0 and 168.168.0.255 use the regular expression 192\.168\.0\..*?
Country AccessAssetNow NX has an integrated geolocation database. If their geolocated country is resolved and matches a country selected here they will be assigned to the group. Note that you cannot rely on the geolocator accuracy since new IP addresses are added continually and the geolocator database is only updated periodically. Your site administrator must upload newer version of the database to maintain accuracy. If the highest possibly accuracy is essential then you should integrate a commercial geolocator solution.
Member RegistrationIf the group is used to provide access the member content and you wish to allow visitors to register to become members check this option. If enabled a register option will be displayed when they click a member content item.
Registration ApprovalIf you wish to approve registrations enable this option. If you do not enable this option visitors are granted access to member content immediately upon registration. To approve registrations you can list all users under the User accounts Approve folder.

3. Message

SendCheck this option to email username and password access details to all users belonging to the group.
MessageEnter a plain text message and check the option below the message field to send the message to all users belonging to the group.

4. Assignment

The assignment tab provides information about where the group has been used.
